What's New

DC Office of Veterans Affairs Going Green (Paperless)

american flagThe Douglas County Office of Veterans Affairs is coming close to that goal. Well, not totally paperless, but lots less paper.

In 2009, the Office of Veterans Affairs acquired a software program for use with our computers called VetraSpec. One of the promises with the software purchase, was that in the future we would be able to submit a veteran’s application forms electronically to the VA. So far the VA has not accepted this, although they accept electronic signatures.

Our use of VetraSpec when processing claims is allowing us to close in on that paperless goal.

The process begins with the entry of client information; names, etc. This information is necessary as it is used to populate forms, relieving us of reentry of that data on each form. The program has an extensive catalogue of VA forms. We select the form needed and call it up. When it appears on screen it is populated with the client’s name and other identifying data.

We then fill out the form and save it. It is saved electronically in the client’s file. Forms can be edited and printed.

We also have the capability to capture related documents such as DD-214s; they are scanned and uploaded to the client file. They cannot be edited, but can be read on screen and can be printed.

With all forms completed and related documents scanned and uploaded to the server, there is no need for a paper file. We no longer file any papers for a client! Some claims generate 20-30 pages, paper we no longer copy and store.

We still print forms, remember the VA requires a paper submission. We also print one copy of all forms for the veteran’s personal record.

Going paperless, going green has saved us the cost of paper, copy machine charges, and storage cabinets/files. Also, we no longer are file clerks, maintaining file drawers full of paper.
